Project overview

An intelligent layer across the systems the team already uses.

Home care coordination spans clients, care partners, schedulers, managers, open shifts, changing availability, communications and follow-ups. Beacon gives the operations team one conversational place to access those connected workflows.

The objective was not to replace the existing technology stack. It was to make that stack easier and faster for the team to operate.

The operational challenge

One coverage question can require evidence from several systems.

Without a connected layer, staff must assemble the decision manually while operational knowledge remains distributed across tools and individual conversations.

01Find the open visit
02Check available care partners
03Review hours and distance
04Check compatibility
05Confirm live availability
06Communicate and follow up

Beacon—the solution

Ask once. Beacon selects the tools and returns the operational context.

Natural-language requests become structured, multi-system workflows. Beacon reads the Slack thread, determines intent, retrieves the relevant data and returns a concise response where the conversation is already happening.

Production workflow evidence

The orchestration behind the AI coworker.

This real n8n workflow screen shows the Slack trigger, thread context, memory, connected tools, Google Workspace actions, AxisCare requests and the Claude agent layer. No credentials or care records are visible.

Core capabilities

Operational help that goes well beyond a chatbot.

Each capability is grounded in the supplied implementation brief and connected workflow evidence.

01

Open shift lookup

Retrieves uncovered visits by day, week, date or client directly inside Slack.

02

Coverage recommendations

Combines shift requirements, availability, hours, distance and compatibility into a ranked shortlist.

03

Client schedule lookup

Returns scheduled visits and highlights relevant unassigned or uncovered work.

04

Schedule change reporting

Checks operational context and turns a confirmed conversational update into a structured record.

05

Care partner lookup

Brings relevant availability, hours and operational flags into the scheduling conversation.

06

Rolling operational memory

Preserves confirmed context for approximately 15 days instead of treating every request in isolation.

07

Open item tracking

Converts follow-ups into trackable actions in the connected OpenItems sheet.

08

Controlled email delivery

Drafts operational messages, waits for staff confirmation, sends through Gmail and logs the action.

09

Calendar actions

Creates operational events and reminders from a natural-language request in Slack.

10

Compatibility checks

Consults known preferences, conflicts and restrictions before a coverage option is suggested.

11

Clock-in alerts

Surfaces missed clock-in signals with context so the operations team can investigate quickly.

12

Thread-aware conversation

Reads the Slack thread so follow-up questions retain the current shift, client and prior request context.

Intelligent coverage workflow

From a question to a reviewable shortlist.

A coverage request can invoke several operational tools in sequence rather than returning a generic AI answer.

  1. 01

    Open shift

    Confirm the visit and requirements.

  2. 02

    Candidate search

    Identify potentially suitable care partners.

  3. 03

    Hours + distance

    Evaluate practical suitability.

  4. 04

    Live availability

    Check schedules and conflicts.

  5. 05

    Compatibility

    Review known constraints and preferences.

  6. 06

    Ranking

    Prepare a decision-ready shortlist.

  7. 07

    Slack response

Return the evidence to the operations thread.

More than a chatbot

Beacon can choose and coordinate operational tools.

Conversation is only the interface. Behind it, the agent identifies the task, retrieves live or cached operational data, combines results and returns the evidence a person needs for the next decision.

AI automation with human control

Important actions remain accountable to people.

Beacon prepares and recommends. Operations staff review sensitive communications and staffing decisions before action.

Automated data readiness

Scheduled cache workflows keep operational searches useful.

The supporting refresh workflow prepares caregiver, client and open-shift data for search and recommendation tasks. This is shown as technical evidence—not as a claimed commercial result.

Business impact

Practical operational improvements—without invented percentages.

01

Less context switching

Staff can initiate connected operational workflows without repeatedly moving between systems.

02

Faster coverage decisions

Shift, availability, hours, distance and compatibility evidence arrives in one workflow.

03

Better operational visibility

Scheduled scans and digests surface gaps and outstanding work proactively.

04

Preserved context

Thread awareness and rolling memory keep confirmed operational information available.

05

Reduced administration

Lookups, drafts, reminders and open items can begin as conversational requests.

06

A central AI layer

Beacon works across the existing stack instead of requiring a wholesale platform replacement.
